Reservation and cancellation conditions

Reservation :

To book a hotel room, use the Registration and Hotel Reservation Form (link) or register online (link). Rooms will be allocated on a first-come-first-served basis. MARINE TOURS will reserve a room in another hotel if the desired hotel is fully booked on the requested night(s). Any change of a reservation must be made in writing preferably by e-mail or fax to MARINE TOURS and not directly to the hotel.

The room reservation is binding for the hotel as well as for the guest for all nights reserved when confirmed by MARINE TOURS.

Advance deposit: A down-payment of 50% of your hotel accommodation has to be paid together with your registration. The balance of 50% of your hotel accommodation, after any change, will be automatically debited to your credit card 30 days before your arrival. If you pay by bank transfer, an advance payment of 50% is compulsory at the time of your reservation and the balance has to be settled 30 days before your arrival, to enable MARINE TOURS to forward you the hotel voucher.

Cancellation:

• Cancellation of the hotel room must be notified in writing (by e-mail or fax) to MARINE TOURS and not directly to the hotel.

• For reasons explained under “Hotel reservation conditions”, any cancellation of the night of 23 May 2007 will not be refunded.

• If your cancelled room can be allocated by MARINE TOURS to another delegate for the nights which you had reserved, there will be no cancellation charge.

• If your cancelled room cannot be re-sold to another delegate by MARINE TOURS, the hotel imposes the following cancellation conditions:

• any cancellation of your hotel room made between 20 April 2007 and 11 May 2007 will entail a cancellation fee of 2 nights;

• any cancellation of your hotel room made after 11 May 2007 or a ‘no show’ at the announced date of arrival, the hotel will charge you for the entire length of your stay.
