CANCELLATION/REFUND

Hotel reservation

Cancellation of your hotel room must be notified in writing to MAZURKAS TRAVEL. If you cancel:

before 1 October 2007, no penalty fee will be charged to your credit card and the full refund of your hotel deposit (minus € 15 to cover administration costs) will be granted;

after 1 October 2007, a minimum of 150 € (i.e. your hotel deposit) will be charged by the Marriott or by the Polonia Hotel unless your room can be allocated to another BIR delegate by MAZURKAS TRAVEL.

The Intercontinental Hotel will charge the equivalent of your entire stay whatever the number of nights you have pre-booked.

Convention registration

In case of cancellation, refunds of the registration fees (minus 50 € to cover administrative costs) will only be made if MAZURKAS TRAVEL is notified in writing by 1 October 2007.

In the case of strikes, flood, fire, “force majeure” or any other circumstances beyond the control of BIR resulting in the partial or complete cancellation of the Convention (and of any part of its programme), BIR cannot be held liable. No refund of the registration fees or of the hotel pre-payment/deposits will be made.

Tours

Cancellation: Should a participant decide to cancel his/her reservation, it must be notified in writing to MAZURKAS TRAVEL. The cancellation with full refund of the cost of the ticket will be accepted until 8 October 2007.

The tours may be cancelled if there is a lack of interest from BIR participants. The minimum number of passengers required for a tour is 10.
