Reservation and Cancellation Conditions
Reservation
All delegates are responsible for their travel and accommodation arrangements. BIR does not guarantee hotel rooms availability for all participants. However, BIR has pre-blocked rooms at preferential rates at the hotels Marriott, Intercontinental and Polonia. These special rates are only available when the booking is made through MAZURKAS TRAVEL before 21 September 2007.
To make a hotel room reservation, use the enclosed Registration and Hotel Reservation Form and return it as soon as possible to MAZURKAS TRAVEL. Your credit card will guarantee your room reservation. If you pay by bank transfer, you must add to your registration fee a mandatory hotel deposit of 150 € to cover your room booking.
Rooms will be allocated on a first-come-first-served basis. A maximum of 270 rooms is available at the Marriott. Any change of a reservation should be made in writing to MAZURKAS TRAVEL and not directly to the hotel. The reservation is binding for the hotel as well as for the guest for all nights reserved when confirmed by MAZURKAS TRAVEL.
Cancellation
Cancellation of your hotel room must be notified in writing to MAZURKAS TRAVEL. If you cancel:

before 1 October 2007, no penalty fee will be charged to your credit card and the full refund of your hotel deposit (minus 15 € to cover administration costs) will be granted;

after 1 October 2007, a minimum of 150 € (i.e. your hotel deposit) will be charged by the Marriott or by the Polonia Hotel unless your room can be allocated to another BIR delegate by MAZURKAS TRAVEL.
The Intercontinental Hotel will charge the equivalent of your entire stay whatever the number of nights you have pre-booked.
