Fees are indicated in Euros and are payable for each participant. If participants are found to be ineligible for the membership and/or other discounts under which they have registered, BIR reserves the right to audit or adjust the registration fees applied.

Observers (Non-Members)* 
“Observer” registration status can be granted to representatives from non-member companies for a maximum of 1 convention. Please contact  bir@clq-group.com to receive the necessary registration instructions. 

 * Conditions of attendance below apply.

  • BIR does not offer a daily registration rate. Each delegate must pay the FULL registration fee mentioned below, regardless of the time spent at the convention and the number of meetings they are interested in.
  • One online registration form must be filled in for each attending delegate.
  • An accompanying life partner is NOT a delegate. The complimentary ‘life partner' only has access to social events but not to the convention area. The status of ‘life partner’ excludes business partners, colleagues and other family members.
  • Registrations will not be processed without proof of payment.
  • Each participant should be registered with their own unique e-mail address in order to gain access to products and services related to the convention, such as access to the mobile app, conference proceedings, online evaluation and participant list. 
  • A confirmation will only be sent by e-mail by COLLOQUIUM if above conditions are fulfilled and after the payment has been received.

    Registration must be completed via the online platform provided on the BIR convention website.

The registration fee includes:

  • Participation in the plenary meetings and workshops
  • One invitation to the Welcome Evening on Sunday, 15 October 2017
  • One divisional buffet luncheon including drinks per day (Saturday 14 October, Sunday 15 October and Monday 16 October 2017)

  • Access to the Gold Member Lounge (for BIR Gold Members)

Conditions of Attendance

The Convention is only accessible to fully registered delegates representing member companies and national associations affiliated to BIR, which have paid their 2017 annual membership dues to BIR, as well as to special Guests and Observers (non-members, subject to conditions).

Membership within a national association affiliated to BIR does not automatically entitle a company to register delegates to the Convention at the reduced BIR member conditions, apart from members of the host country's National Associations ANMA, IICA and MRAI.

“Observer” registration status can be granted to representatives from non-member companies for a maximum of 1 convention. After that, every observer needs to make sure that his/her company joins BIR as a member in order for him/her to attend any future conventions. Please note that for new members to be able to register to the BIR 2017 New Delhi convention, their membership application must be submitted by 15 September 2017 at the latest.

The non-member fee will be charged if the membership status is not valid at the date of registration.


BEWARE OF BADGE FRAUD: lending a convention badge to someone who is not registered is considered fraud and will result in the delegate’s immediate exclusion from the convention, the suspension of company membership privileges and expulsion from the organisation following a disciplinary process. Random checks will be carried out throughout the convention area.


 

Registration Cancellation and Refund Policy

BIR is aware that your business environment is continuously changing, and our aim is to support you with a flexible approach when it comes to BIR convention registration cancellations. However, please keep in mind that we commit to expenses for each participant well in advance of the event and we must strictly adhere to the cancellation and refund policy outlined below.

REFUNDS
There will be no refunds:
On Divisional Luncheon tickets;
On Welcome Evening tickets;
To participants not attending plenary meetings, workshops, coffee breaks, luncheons or evening functions included in their registration fees.

Cancellation

  • All cancellations of registration must be notified in writing to bir@clq-group.com and will be subject to the following conditions:
  • Cancellations received on or before 15 September 2017: full refund of the registration fee ( minus an administrative fee of 250 €).
  • Cancellations received after 15 September: no refund will be granted.

Any applicable refunds will be processed after the convention. Any refunds to credit card payments may only be credited back to the original credit card and cannot be refunded to a different card. In case of overpayment or double payment, refund requests including valid proof of the overpayment or double payment must be made in writing to bir@clq-group.com no later than 2 weeks after the closure of the convention.

Substitution

Substitutions are permitted until 1 October 2017 . Substitutes must work for the same company as the original registrant, must be in the same registration category (or additional fees may apply) and invoicing information must stay the same. Substitutions must be notified in writing to bir@clq-group.com .
Once a badge has been issued onsite, substitutions are no longer allowed. Sharing of registrations is not permitted.

Convention

In the case of strikes, flood, fire, “force majeure” or any other circumstances beyond the control of BIR resulting in the partial or complete cancellation of the convention (and of any part of its programme), BIR cannot be held liable. As a result, no refund of the registration fees or of the hotel pre-payment/deposit will be made to BIR registered delegates.

The BIR Convention Registration Terms and Conditions apply to all registrations.

DISCLAIMER

BIR may not be held responsible for any loss, injury or damage to any property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected.

Should the venue or speakers change, or should the event be partially or completely cancelled for any reason outside the organiser’s control (including, but not limited to, acts of terrorism, extreme weather conditions and/or industrial action), the organisers will endeavour to re-schedule, but shall not be held responsible for any costs, damages or expenses incurred by the registrants.

If for any reason the organisers decide to make material changes to this convention, they are not responsible for airfares, hotels or other costs incurred by the registrants.

The customer takes part in the convention and all functions at his/her own risk.

The organisers may not be held liable for any costs or damages incurred as a result of events outside of their control; including, but not limited to, force majeure, strikes and/or public manifestations. Only written arrangements are binding.

The sole registered office of BIR is located in Brussels (Belgium). In any disputes that may arise concerning the execution or interpretation of the present General Regulations, both parties agree that they will be subject to Belgian law and that the commercial courts of Brussels will be competent, without prejudice to BIR’s right to initiate proceedings under the laws and before the courts of the participant’s registered office in the event any sums are due by the participant to BIR.

Registration of a participant entails acceptance of these conditions.
