COVID-19 Health and Safety

In order to ensure the wellbeing of all attendees, you will need to fulfil one of the following conditions by providing a COVID-19 certificate upon entry:

  • That you have been fully vaccinated at least 2 weeks prior to the event; or
  • That you received a negative PCR-test result no later than 48 hours prior to the event; or
  • That you can show that you contracted COVID-19 in the last 8 months prior to the event

The convention is exclusively accessible to fully registered delegates representing member companies and national associations affiliated to BIR, which have paid their 2021 annual membership dues to BIR, as well as to special guests and Observers (subject to conditions).

BIR reserves the right to cancel your registration should the membership dues not be settled before 30 September 2021.

Membership within a national federation affiliated to BIR does not automatically entitle a company to register delegates to the convention at the reduced BIR member conditions.

Registrations will not be processed without valid payment.
A confirmation will only be sent by email if above conditions are fulfilled and after the payment has been received.

Each participant should be registered with their own unique email address in order to gain access to products and services related to the convention, such as access to the mobile app, conference proceedings, online evaluation and participants list.

 “Observer” registration status can be granted to representatives from non-member companies for a maximum of 1 convention. After that, every observer needs to make sure that his/her company joins BIR as a member in order for him/her to attend any future conventions. Please note that for new members to be able to register to BIR 2021, their membership applications must be submitted by 30 September 2021 at the latest.

Substitutions are permitted until 15 October 2021. Substitutes must work for the same company as the original registrant, must be in the same registration category (or additional fees may apply) and invoicing information must stay the same. Substitutions must be notified in writing to

As from 4 October 2021, registered delegates will receive a provisional list of participants which will be updated and send by e - mail on a weekly basis.


BIR may not be held responsible for any loss, injury or damage to any property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected.


Should the venue or speakers change, or should the event be partially or completely cancelled for any reason outside the organiser’s control (including, but not limited to, acts of war/terrorism, global disease outbreak, extreme weather conditions and/or industrial action), the organisers will endeavour to reschedule, but shall not be held responsible for any costs, damages or expenses incurred by the registrants.

If for any reason the organisers decide to make material changes to this convention, they are not responsible for airfares, hotels or other costs incurred by the registrants.

The customer takes part in the convention, all tours and functions at his/her own risk.

The organisers may not be held liable for any costs or damages incurred as a result of events outside of their control; including, but not limited to, force majeure, strikes and/or public manifestations.

Only written arrangements are binding.

The sole registered office of BIR is located in Brussels (Belgium). In any disputes that may arise concerning the execution or interpretation of the present General Regulations, both parties agree that they will be subject to Belgian law and that the commercial courts of Brussels will be competent, without prejudice to BIR’s right to initiate proceedings under the laws and before the courts of the participant’s registered office in the event any sums are due by the participant to BIR.

The BIR Global Trading Forum will be a fully live event. The requested official measures will be applied. Rest assured that we are putting all our efforts towards this direction, and we are monitoring the evolution of the pandemic very closely.

To enter the Congress

We want the BIR Global Trading Forum to be a great and safe experience for everyone. Therefore, to enter the congress and the venue, we will require each attendee to show the following documents at the entrance:

  • the EU Digital COVID Certificate or any vaccination certificate recognised by Belgium
  • or a negative COVID-19 PCR test result. This test should be less than 48 hours old
  • or a COVID-19 recovery certificate

Practical detailed measures will be communicated to you a few days ahead of your trip, in order to inform you with the latest measures of our government.

These will be adjusted as necessary as the situation evolves with the health and safety of our participants remaining a top priority.

You can have a test done at the airport on arrival. Most have their result in 24 hours, though it could take up to 48 hours. If possible, you might even consider arriving in Belgium earlier, to be sure that you do not miss a minute of the event.

Safety Measures

The BIR Global Trading Forum will be held in-person in Brussels, with health and safety protocols in place, to meet all local regulations at the time of the meeting.

Some of the measures include:

  • To be eligible to attend this event, you will need to be fully (double) vaccinated against Covid-19 and present your certification upon entry to the event. If not vaccinated, you will need to present a negative PCR test no older than 48 hours or a negative antigen test no older than 24 hours before your entry to this event. Note that antigen testing is now available at many Belgian pharmacies.
  • Obligatory wearing of face-masks for all participants throughout the conference centre, except while eating or drinking
  • Widespread availability of hand sanitizer dispensers
  • Distanced seating of 1.5 meters in all conference rooms
  • Enforcement of social distancing throughout the event area
  • More frequent cleaning and disinfection throughout the conference centre
